Amenities

Conference guests will reside in double or single occupancy rooms with twin-size beds and share community bath facilities. Guests (both youth and adults) of other conferences may share the same building, floor, and dining room. The appropriate bathroom for one (1) gender may be located one (1) floor above or below the assigned room. Residence halls are not air-conditioned; however, a small fan is placed in each sleeping room. Microwave ovens and television lounges are conveniently located in each residence hall. Desk lamps can be checked out at the Conference Desk. Hardwired Ethernet access is available in sleeping rooms for those who bring their computers. Log in-secured wireless internet access is available in most common areas, including dining facilities.  Bedding, towels, soap and drinking cups are provided. Housekeeping exchanges guest towels and empties wastebaskets each day; linen is exchanged once a week.

Lost keys and conference cards present a serious security risk for residence halls. A room key not returned to the Conference Desk at checkout will result in an immediate lock change and will incur significant replacement fees ($85 plus tax). Keys left in a guest room or returned after the lock change occurs will not relieve the guest or Conference of this financial responsibility.

Parking

The daily parking fee is $12/day between 6 a.m. and 4 p.m. weekdays. Stop at a gatehouse as you exit campus for a prorated refund if you parked on campus for less than 4 hours. An evening rate begins at 4 p.m. and is $6/evening. A weekend rate of $6 is required when parking on Saturday from 7 a.m. to noon. (Evening/Saturday rate for the Central Campus Garage is $8.) Campus parking may be paid with cash or a Visa/MasterCard.

Cancellation

Guests who cancel on or before the reservation deadline date will not be charged or will receive a full refund. Guests who cancel after the deadline but before the scheduled check-in date will forfeit the Reservation Fee and Late Reservation Fee (if applicable) plus ten (10) percent of the package rate, or one (1) day’s room and board, whichever is greater.

No-Shows

Guests who do not cancel in advance and do not check-in forfeit the full pre-payment.

Substitutions

A substitution of the same gender may take the place of a canceled guest through the day of check-in. A substitution of a different gender may take the place of a canceled guest through the day of check-in, only if comparable accommodations are available in the Conference’s block of rooms. All cancellations and substitution requests must be discussed directly with the Conference Services Office, and confirmed in writing to ensure guests have been correctly accommodated and the billing is accurate.
